Find the biggest sources of waste

Review how the workplace uses electricity, water, paper and disposable products. A walk-through outside normal working hours may reveal computers, lights or kitchen equipment left running. Checking supply cupboards can also expose duplicate orders and products that expire before anyone uses them.

Start with two or three changes that address the largest sources of waste. For example, set printers to double-sided mode, install occupancy sensors in quiet rooms, and track monthly electricity use per employee or occupied floor.

Improve washroom and waste services

Washrooms are easy to overlook during sustainability reviews, yet their supplies, water use and disposal arrangements affect both environmental performance and employee experience. Check taps and toilets for leaks, order supplies based on actual demand and place clearly labelled bins where people need them.

If your workplace has sanitary waste that needs regular collection, make sure there’s a clear system for storing and disposing of it. These improvements can complement broader sustainable business practices that reduce overheads without disrupting daily operations.

Buy fewer and better supplies

Create a purchasing policy that gives staff clear criteria for routine orders. Products should be durable, repairable and available with limited packaging where practical. Consolidating orders can reduce delivery trips and administrative work, while an approved catalogue can prevent departments from buying several versions of the same item.

Consider the full cost of each purchase. A cheap office chair that needs replacing after two years may cost more than a durable model with replaceable components. The same principle applies to cleaning products, electronics, and kitchen equipment.

Give employees a clear role

Workplace sustainability works better when employees know what action is expected and why it matters. Labels should use specific instructions such as “clean paper only” or “switch off after the last meeting”. Vague reminders tend to fade into the background.

Invite employees to report waste through an existing communications channel and give each suggestion a named owner. A quarterly facilities survey can uncover practical issues, from overflowing recycling stations to meeting rooms that stay heated while empty. Share the outcome, including ideas that cannot be adopted and the reason why.

Review the programme every three months using a small set of measures, such as energy use, general waste volume and supply spending. These figures will show which changes deserve wider rollout and which need adjustment. A workplace becomes measurably more sustainable when its systems make the responsible choice easy on an ordinary workday.
