IBM watsonx Orchestrate: An AI transformation in learning event management

In dissecting tasks such as attendance tracking, they may appear deceptively simple at first glance. However, a closer examination reveals the substantial time investment required for event managers. The process involves downloading the attendee report, meticulously reviewing each row to discern entry and exit times, and then manually logging this information into the relevant tracker. Hema emphasizes that this approach is inherently non-scalable, particularly when dealing with the multitude of events managed on a monthly basis, highlighting the imperative for a more efficient and scalable solution.

Using watsonx Orchestrate, Hema and her team built an AI assistant for event managers and they called it cHaRlie: Cognitive Human Resource Learning EM Assistant. cHaRlie assists event managers with a range of critical but repetitive, error-prone tasks such as monitoring class enrollment, alerting managers to events that require follow up due to low enrollment, managing customised event promotion, deploying pre-event communications and logging attendance of virtual classes.

The Impact of cHaRlie on the Learning Event Management of IBM

IBM’s HR Enterprise Learning Operations and Administration (ELOA) has harnessed the power of cHaRlie to revolutionise learning event management. The Event Management team at ELOA handles end-to-end support for internal IBM learning engagements, catering to the development of thousands of IBMers globally. With a focus on optimising planning, scheduling, and delivery of learning events, cHaRlie addresses historically complex and manual processes, bringing a new level of efficiency.

The introduction of cHaRlie has significantly improved accuracy and employee satisfaction within the ELOA team. cHaRlie assists event managers with a range of critical but repetitive, error-prone tasks such as monitoring class enrollment, alerting managers to events that require follow up due to low enrollment, managing customised event promotion, deploying pre-event communications and logging attendance of virtual classes

The ELOA team has witnessed a remarkable 15% increase in employee satisfaction, measured through net promoter score surveys post-event. Moreover, cHaRlie has achieved 100% accuracy in learner attendance capture and a staggering 91% improvement in the turnaround time for updating attendance rosters.
