Aya Healthcare is the largest healthcare talent software and staffing company in the United States, offering technology-driven solutions that connect healthcare professionals with medical facilities nationwide. Together with IT Craft, Aya Healthcare developed Workforce AI — an innovative platform that uses artificial intelligence to optimize business processes in clinics, from staffing and scheduling to workforce planning and cost control.
IT Craft served as the core engineering partner throughout the product's entire development journey — from an on-demand staffing marketplace MVP to an enterprise-grade SaaS platform with advanced AI capabilities.
Transforming Healthcare Staffing Through AI and Predictive Analytics
Healthcare administrators face a persistent challenge: matching the right staff to patient demand in real time, without overspending on labor or leaving critical roles unfilled. Workforce AI was built to solve exactly that.
The platform needed to:
- Predict staffing needs accurately across departments and roles
- Automate schedule generation and real-time balancing
- Integrate with existing hospital systems (HRIS, VMS, EMR, scheduling tools)
- Scale from a niche MVP into an enterprise system supporting facilities nationwide
IT Craft delivered on all of these goals over an eight-year engineering partnership, growing the development team from 6 to 17 specialists as the product expanded in scope and complexity.
From MVP to Enterprise Platform: A Three-Phase Journey
Phase 1 focused on launching an on-demand marketplace for pre-vetted nursing professionals. IT Craft refactored an existing monolithic app into a microservices architecture, introduced CI/CD pipelines with Docker, and implemented Elasticsearch for candidate matching — delivering a fully functional staffing workflow for recruiting, managing, and paying temporary nursing staff.
Phase 2 introduced AI-driven workforce forecasting. IT Craft integrated predictive analytics capabilities developed in partnership with a data science firm, enabling the platform to forecast staffing needs based on historical census data and projected patient demand. A Virtual Clock feature was also delivered, allowing medical professionals to check in across departments and manage overtime approvals digitally.
Phase 3 transformed the product into a full-fledged enterprise workforce management system. Following Aya Healthcare's acquisition of the platform in 2023 (formerly Flexwise Health), IT Craft expanded the engineering team and enhanced the platform with end-to-end workforce visibility, advanced scheduling automation, AI-powered trend analysis, and deep integrations across hospital software ecosystems.
